Conference Tips & Hints

 

ACCESSIBILITY/DIETARY NOTIFICATIONS - Please complete the sections on the registration form if accommodations regarding needs or facilities will help you participate in this event.  A member of the staff will contact you prior to your arrival.

 

AIRPORT TRANSPORTATION - Kansas City International is approximately 45 minutes from the Rockhurst campus. Options for transportation from the airport include:

 

CANCELLATION POLICY - If you must cancel, all refund requests must be in writing with a signature, and postmarked no later than April 15, 2004. No refunds will be given for cancellations received after April 15, 2004. Telephone cancellations cannot be accepted. You may substitute another person in your place. Refunds will not be given for no-shows.

CHAPERONES - Girls will be divided into patrols with two chaperones. It is important that girls not leave their patrol, unless arrangements have been made. Chaperones will be responsible for the girls during the event.  Keeping with Safety Wise, we always use the Buddy System.

 

CHECK-IN - Upon your arrival to Rockhurst University, please leave your luggage in your car and check in at McGee Hall.  A map will be included in your confirmation packet.

 

CONFERENCE REGISTRATION FEE - The cost of this fun and exciting event is $150.00 plus cost of excursions and Conference logo items.  All fees are due at the time of registration and late fees do apply (after April 15, 2004).  The cost includes dormitory lodging for 3 nights, 7 meals (Thursday dinner, Friday breakfast and dinner, Saturday breakfast/lunch/dinner, and Sunday breakfast), excursion transportation, and conference materials.

 

CONFERENCE SOUVENIR ITEMS - Patches, Pillowcases, T-shirts, and Drawstring Backpaks are available for purchase and must be ordered by April 15, 2004.  Place your order on the registration form.  Your Conference Souvenir Items will be available when you check-in.

Ø      White T-shirts and Pillowcases have the square logo with the penguins on the iceburg. 

Ø      Drawstring Backpaks are available in pink, black, and blue, and includes the Just for Seniors patch on the front. 

Ø      The 3” round patch has the logo (penguin floating in the intertube) embroidered in 7 colors.

 

CONFIRMATION - After receipt of registration, medical history form, permission slip AND payment, you will receive confirmation by e-mail. Conference materials will be given to you at the registration desk in McGee Hall on June 24, 2004, between 10:00 and 2:00 p.m.

 

GIRL SCOUT TRIP INSURANCE – Girl Scout Trip Insurance is a requirement according to Safety Wise of any trip in excess of 2 nights.  Proof of payment for this insurance is required six (6) weeks prior to the Conference.

 

OVERNIGHT ACCOMMODATIONS - Dormitory rooms are available on the campus of Rockhurst University.  Room assignments will be made with no more than two people per room due to the fire code.  All rooms are equipped with twin beds.  Please provide all personal gear, including sleeping bag/linens, pillow, bath linens and personal gear.

 

REGISTRATION DEADLINE Your registration form, healthy history and payment must be postmarked on or before April 15, 2004.  After that date a late fee will be charged. Late Registration forms should be mailed before June 10, 2004 to be sure we receive it in time to be processed. Registration will be accepted on site at the Conference only if space is available.  Registrations will be processed in the order received. The postmark date deadline is final.  A confirmation packet will be sent to you upon receipt of your registration with additional information.  Space is limited to 300 participants (girls and adults).

 

SWAPS - Bring your special SWAPS to trade with your new Sister Girl Scouts. Please mark with your name.  We are expecting 300 participants.

 

WEATHER - Kansas City's weather is like nothing you have probably ever experienced.  However, summertime is more gorgeous than a beach, the days are hot and humid, and the nights are warm.  Average temperatures in the summertime are around 80 degrees- 90 degrees.  Perfect temperature to have some fun!  Don't worry it won't snow in the summer!

 

WHO SHOULD ATTEND - All registered Senior Girl Scouts are invited to attend (girls entering 9th grade in the Fall of 2004 through and including girls who graduated from high school in 2004).  If you are not a Girl Scout, no problem!  You can sign up. A limited number of adults are needed to meet Safety Wise requirements.  Adults who would like to participate (including Girl Scouts between the ages of 18-25 who would like to be a chaperone), please complete the adult registration form.  While the campus fees are non-negotiable, as a chaperone, we are able to offer you a complimentary excursion fee.
